Team Plan: User and Admin Roles

Note: this page is about a Team Plan feature. If you're not using or considering the Team Plan, you don't need to learn this.

What are user roles?

User roles control what permissions different users on your team have in Hemingway. They're mainly used for making sure only certain people can do sensitive actions, like changing billing details, or adding and removing users.

Available user roles

  • User — For most team members. Users can access all AI features of Hemingway Editor Plus and use one license on your Team Plan. They cannot view billing, change billing settings, or manage other users.
  • Admin User — For team leads who both use Hemingway and manage the account. Admin Users can do everything a regular User can plus manage billing and user roles. They also use one license.
  • Admin Only — For IT, finance, or account managers who handle billing and team management but don’t need to use Hemingway’s editing tools. Admin Only members don’t use a license and don’t have access to AI features.

How to change user's roles

On the Team Page, users with either the Admin User or Admin Only roles are able to change other user's roles in two places:

  • Setting roles when inviting team members: When you go to invite a team member, you can set which role they will have when they join the team.
  • Changing the role of an existing team member: At the bottom of the Team Page, you can toggle the role of each existing user. When changing roles, we'll make sure that you retain at least one administrator, and that you don't use up more than your available licenses.

How to administer your Team Plan account without using up a license seat

Team leaders, IT pros, and finance colleagues often want to administer the billing and team settings of a Hemingway Editor Plus account, without consuming a seat on the license. That's possible with the Admin Only role.

Here's how to get started:
1. Sign up for a Team Plan on the Billing Page. If you don't want to pay by credit card, contact support and we'll get you an invoice you can pay by wire. During the process, you'll select how many user licenses you want (don't include yourself in the count).

  1. Once you've signed up for the Team Plan, head over to the Team Page.
  2. On the Team Page, find yourself in the list of users. Set your user role to Admin Only. You'll see that you're no longer consuming one of the licenses.
  3. Now, use the button on the Team Page to invite colleagues.
